Setting Up Your Numeral Dashboard

A section-by-section walkthrough of the Numeral Setup checklist — what each step needs, why it matters, and what finishing it unlocks.

Setup is the first thing you'll see when you log in, and it's how we collect what we need to start monitoring your tax obligations — and eventually register, file, and remit on your behalf. Until every step is done, skipped, marked not applicable, or handed off to our team, you'll land back on Setup each time you log in instead of your full dashboard. Finishing it unlocks the Go to dashboard button and everything past Setup: Jurisdictions, Filings, and the rest of your account.


A couple things to keep in mind before you start

🔵 Step order and timing

Three steps — Business verification, Transfer credentials, and Additional info — stay locked until you've completed Registrations, which is near the end of this list. That's expected, not a bug.

Once your nexus study finishes, Registrations moves to the top of your sidebar. Completing it is what unlocks those three steps.

🔵 Self-serve signup differences

A few things look slightly different if you're using Numeral's self-serve signup instead of working with an onboarding manager:

  • You'll see a separate Company address step.

  • The step order shifts a bit.

  • EIN is optional rather than required on the company information form.


Start your liability analysis

These two steps give us the sales and location data we need to run your nexus study — the analysis that tells you where you owe tax.

Connect platforms

We need your transaction data to run the nexus study and figure out where you owe tax. Connect at least one store or integration, or upload your sales manually and let the upload finish processing — either one completes this step. If you don't connect a Shopify store here, the Shopify collaborator step further down won't apply to you.

Physical presence

An office, inventory, or employees in a state can create a tax obligation there regardless of how much you sell — that's physical presence. Add at least one location (presence type, state, and start month/year), or connect an HR integration like Finch or Rippling instead of entering locations by hand. You won't be able to continue with zero locations unless an HR integration is connected.

Prepare your account

This is where you give us your company's identity, contact info, and the account details we need to register and remit on your behalf.

Company information

This is the legal identity states will register and file under. We need your legal business name, website, business type (Sole Proprietorship, Partnership, LLC, S Corp, C Corp, or Nonprofit), legal address, mailing address, and EIN in XX-XXXXXXX format. DBA and incorporation date are optional here.

Primary contact

First name, last name, email, and phone for whoever should be our main point of contact. Accountant email is optional.

Virtual mailbox

We monitor state tax mail — notices, prepayment letters, and similar — through a USPS virtual mailbox with our partner Stable. Approving or declining either one completes this step.

🟡 If you approve, we can't start new registrations until your mailbox address is actually live, so finish the USPS form soon after approving. If you decline, that's fine too — you'll just need to forward any state tax mail to us yourself.

Bank account

This is the account we debit to remit your tax payments to states — separate from however you pay Numeral's own invoices. We need a routing number (9 digits) and an account number (4–17 digits). This step doesn't apply if you're an international company without a U.S. EIN. See Setting Up Your Bank Account for Tax Remittance for the state-by-state ACH Originator IDs you'll want to add once this is connected.

Shopify collaborator access

Only shows up if you connected a Shopify store. Enter your Shopify collaborator code for each store you connected.

🔴 Submitting the code here isn't the last step — be sure to approve Numeral's collaborator request in Shopify too. We'll add a reminder for this to your Home page once it's ready for you.

Business verification

States need proof of who your business is and who's responsible for it before they'll issue a permit. We need your Articles of Incorporation (or equivalent formation document), a government ID for your company officer (passport, driver's license, or state ID), that officer's email and phone, and their SSN or ITIN — or you can check a box to opt out of providing it at this step. The officer you name here needs to be someone listed on both your Articles of Incorporation and your EIN letter.

Most companies don't need to submit an EIN confirmation letter here. We'll ask for one only if you're registering in California, DC, Michigan, Mississippi, New York, or Puerto Rico, or if we can't verify your EIN automatically. Optional documents that can help if you have them: bylaws, executed meeting minutes, a statement of information, or an operating agreement (for LLCs).

If a document doesn't go through automatically — it's still processing, invalid, or the name doesn't match — our team reviews it by hand. You can keep moving through the rest of Setup while that happens.

Transfer credentials

Only applies if you chose to transfer an existing registration from another provider. For each state you're transferring, we need your state portal login — usually a username and password.

A few states ask for more than that:

🟢 Note: If you've already given us your Avalara credentials, this step completes on its own.

Additional info

Shows up only when a state you're registering in needs extra information beyond the standard registration questions. Answering it isn't required to move on to the rest of Setup.


Get compliant

Registrations

This is where you tell us what to do in each state where you’re exposed. Completing this section unlocks Business verification, Transfer credentials, and Additional info above.

Choose whether to start with the next filing period or a custom date, and whether we should also file your historical returns.

Externally managed

Keep the registration and filing activity managed outside of Numeral.

Skip for now

Leave the state unconfigured for now and return to it later.

Once you've made your choices, confirm any transfers and check out—registrations are either included in your plan, billed separately, or billed through Shopify depending on your setup.


Company profile complete — a separate checklist from Setup

Finishing every step in Setup and having a "complete" company profile are two different things. You can finish Setup entirely and still see "Finish your company details" on your Home page — that's your company profile, a separate check we run on your company, officer, bank, and document information.

Your company profile checks: legal name, EIN, business type, legal and mailing address, state of incorporation; your company officer's name, email, phone, and SSN; your bank routing and account number; and three documents — Articles of Incorporation, your EIN letter, and your officer's ID.

Fix any of this in Settings → Company → Details (company info, officer, and documents) or Settings → Company → Bank account (international filers: Settings → Tax → Remittance).

🟡 Your profile can still ask for an EIN letter or SSN even if Setup didn't require them from you — for example, if your EIN verified automatically, or you used the SSN opt-out during Business verification. If your profile shows incomplete after you've finished Setup, this is usually why. Add the missing item in Settings → Company → Details to clear it.


Your Home task list

Your Home page has a Tasks card that tracks what's still outstanding on your end, both during and after Setup.

When your Tasks list is empty, there's nothing outstanding on your end.

🟡 Once we've validated your formation documents, your company name, business type, addresses, officer details, and the documents themselves lock in Settings — you won't be able to edit them yourself after that. If something needs to change later (a new officer, a legal name change, and similar), message your team and we'll take care of it.
