Transferring your existing registrations

What Numeral needs to transfer your existing state registrations, why we're set as your default 2FA contact, and what to do if any of that changes.

Written by Sadie Rudiger

If you're switching to Numeral with active registrations already in place, this article covers how those registrations transfer over, why Numeral typically manages your portal credentials and 2FA, and what to do if any of that changes.

Registration vs. transfer — what's the difference?

If you're already registered or filing in a particular jurisdiction, switching providers doesn't change that obligation — we take over the existing registration. That's a transfer. If you don't have an active registration there yet, we set you up.

What we'll need from you

Exactly what's needed varies by jurisdiction — your onboarding manager will tell you exactly what applies to yours. In general, we'll ask for:

  • Your login for the jurisdiction portal

  • Access to 2FA (if required)

  • Anything else you have on the account — prior tax return info, PINs, access codes, or mail from the jurisdiction

How a transfer works

Share your access details →

Provide your state tax portal login, two-factor authentication (2FA) access, and any other account information you have available.

We verify your account →
We'll add Numeral's access and review the account to make sure everything is in order.

We take over filing →
Once the transfer is complete, Numeral handles your filings going forward. If needed, we can also help with past-due filings (backfilings) or closing the account.

Most states just need your login and 2FA access to get started. A few work differently and take longer — we'll tell you exactly what yours needs once we start the transfer.

Will my account number and filing history carry over?

Yes, your existing state tax accounts are tied to your business's FEIN, so your existing account number and filing history generally stay the same when Numeral takes over.

Exceptions

  • Your business is changing its FEIN: You'll need a new account instead. See EIN and Business Entity Changes for guidance.

  • Your previous provider closed your account: The state may issue a new account number when the account is reactivated.

Good to know: If your previous provider removes their own access, that doesn't close your state tax account. If they still have access after the transfer, let us know so we can help address it. Their access won't change your account number or filing history.

Why we're your default 2FA contact

We're set as the default so we can log in to file, review, and audit your account without needing someone on your team available every time. Most states only allow one 2FA destination, so if your team held that slot instead, every login we need would ping you first.

🟢 Want to keep receiving verification codes? Ask us to set up forwarding so your team receives them too.

What happens next

Once your transfer is complete, you'll see the registration in your dashboard under Jurisdictions, and Numeral will take over your filings going forward.

Need to transfer another registration later? If it wasn't included in your original onboarding, see Initiating a Transfer and Managing Tax Portal Credentials for instructions.

🟢 Maintain your own access: We can coordinate the handoff through our 2FA bot or a quick call with your rep without removing your access to the state tax portal. This is also a good time to review who on your team needs access going forward. If needed, ask us to set up code forwarding so your team can receive verification codes and log in as needed.

šŸ”“ Be sure to update changed passwords right away: If you change your state portal password, update it in your Numeral dashboard too. Password changes don't sync automatically, and an outdated password can delay a filing. If Numeral changes the password, your dashboard updates automatically.

Frequently asked questions

Can I keep my existing state registrations when I switch to Numeral?

Yes, and it happens automatically — if you're already registered and filing somewhere, we take over that registration rather than starting a new one. We'll need your login, 2FA access, and anything else you have on the account. We can handle backfilings and closures too, if needed.

Why is Numeral the default 2FA contact, and can that change?

Most states only allow one 2FA destination, so if your team held it instead, every login we need to make would ping you first. You can ask us to forward codes to your team too, without changing who holds the primary slot.
