Transitioning to Numeral

What happens to past filings, existing registrations, and your historical data when you switch to Numeral from another sales tax provider.

Written by Sadie Rudiger

Switching to Numeral from another sales tax provider doesn't reset anything you're already doing — it changes who's doing it, starting from an agreed effective date. This article covers who's responsible for what around that date, how we review your historical liabilities, and where your data comes from if your old provider won't share it.

Who's responsible for past filings

Your effective start date with Numeral is the cutoff. You and your prior provider are responsible for every filing, tax, penalty, and interest tied to periods before that date. From the start date forward, we're responsible for your filings and compliance within the scope we've agreed to.

🔴 One of the primary issues that can cause conflicts early in your transition is having your previous provider remain active past your Numeral start date. Be sure to cancel your previous provider yourself and confirm the final period they’ll be handling before your Numeral start date. If they remain active beyond that date, it can create filing conflicts or prevent Numeral from filing altogether.

If a filing that falls in our window is late because of something on our end, that's on us, including any resulting penalties or interest.

What happens to your existing registrations

If you're already registered and filing somewhere, we take over that registration rather than starting fresh — that's a transfer. See Transferring existing registrations and managing tax portal credentials for exactly what that process needs from you.

Will my historical liabilities get reviewed?

Yes — historical exposure is reviewed as part of your nexus study during onboarding. The study helps identify potential exposure based on your sales activity by jurisdiction, but it doesn’t always confirm your actual compliance status or outstanding balances.

In many jurisdictions, open periods, balances, and filing status can only be confirmed through the individual state or local tax portals. If you’re unsure of your status, you can work with our team to gain access to those portals during onboarding, where portal access is available, to confirm what’s needed.

🟡 How complete this review is depends on the data available to us. Let us know about any known gaps, past notices, prior registrations, or Voluntary Disclosure Agreements (VDAs) in progress or already completed.

Getting your historical sales data

If your prior provider won't share your sales history, state portal access is usually the easiest path — with valid login credentials and 2FA access, we can often pull your filing history directly from the state. If that's not available, you can send us prior-period sales data by spreadsheet or API, and we'll upload it for backfiling.

Missing historical data can delay your onboarding — if we don't have what we need to determine your obligations, we may need to pause a registration or transfer until we get it.

A note on your reporting going forward

Your Numeral dashboard only reflects tax we've processed. How complete that picture is from day one depends on your onboarding timing and how much historical data we were able to bring in — it won't include anything a marketplace facilitator (Amazon, TikTok, etc.) collected and remitted on your behalf before or after you join.
