Setting Up Your Bank Account for Tax Remittance

How to set up your bank account for ACH tax remittance, including the full list of state ACH Originator IDs to add before your first filing.

Written by Carlos Madeira

Numeral remits your tax payments by debiting the bank account you connect — states initiate an ACH (Automated Clearing House) debit directly, you don't send a wire or submit payment manually. Setting the account up correctly the first time avoids failed payments, which some states penalize.

Before your first filing

Confirm before you connect

☑️ The account and routing numbers are set up for ACH debits, not wire transfers.

☑️ There are no ACH debit blocks on the account that would reject incoming debits.

☑️ Your bank has each state's ACH Originator ID allow-listed (see the table below).

☑️ The account holds sufficient funds to cover every state's withdrawal each month. We recommend a dedicated account for collected tax.

☑️ If your company is based outside the U.S. but you file in the U.S., your connected bank account must be U.S.-based.

ACH Originator IDs by state

Updating your bank account

  1. Log in to your Numeral dashboard.

  2. Go to Settings → Company → Bank Account.

  3. Re-run the checklist above for the new account, including allow-listing Originator IDs again — banks don't carry these over automatically.

Best practices

🔵 Monitor your account each filing period. Numeral initiates a separate ACH debit for each state from your linked account. A failed payment can take 3–5 business days to surface, and some states don't report the failure immediately — so a quick balance check after filings go out catches problems before they become penalties.

🔵 Use a dedicated account for tax collections so the funds needed for remittance are never competing with other outflows.

🔵 Update your bank account at the start or end of a month — right after filings are submitted, or right before the next cycle begins — rather than mid-cycle.

How remittance works

Once your account is set up and the relevant Originator IDs are allow-listed, Numeral debits your tax account directly and remits to each state agency. Numeral never holds your funds in trust — each state's filing details in your dashboard show exactly which payment went where, so you can reconcile by month. Processing typically takes 5–7 business days after a filing is approved, depending on the state.

🟡 Already on a state payment plan? Some states offer payment plans for businesses with unpaid tax, penalties, or interest. Numeral can't negotiate or manage an existing plan on your behalf — you'll need to handle payments on that plan directly with the state.

Let us know if you have one so we can account for it and resume normal filing and remittance once it's resolved.

FAQ

What if my bank blocks ACH debits?

Ask your bank to allow-list the Originator IDs in the table above for every state you file in. Without this, a state's debit attempt can be rejected even if your account otherwise has sufficient funds.

What happens if a payment fails?

Failed payments can take 3–5 business days to resolve, and some states don't flag the failure right away. If you notice a missed withdrawal or get a notice from a state, message our team as soon as possible so we can help resolve it before penalties accrue.

Why does Numeral need a per-state Originator ID instead of one for the whole account?

Each state tax agency debits your account as its own ACH originator, so your bank checks each state's ID separately against your account's debit-block settings. Allow-listing only Numeral's ID, or only one state's ID, won't cover the others.
