Autofile and Autoregister make managing your tax obligations easier by allowing Numeral to handle eligible filings and new state registrations automatically. One of the goals of your go-live plan is to make sure youāre prepared to enable and use these features confidently from day one.
This article provides a high-level rundown of recommended checks, along with notable case-specific items to review with your team and/or onboarding manager before go-live. Completing these checks can help ensure your account is configured correctly and support a smoother first filing cycle.
Not every section applies to every client. Review section details to determine which items apply to your business, integrations, and tax setup, and reach out to our support team if you have questions or need help resolving anything outstanding.
A few things to keep in mind
Some filings will still require manual review
Amendments, backfilings, and filings flagged for review or with a history of prior issues may require your approval in the Dashboard. As a best practice, check your Dashboard around the 5th, when filings are initially prepared, and again around the 15th, when filings begin submittingāparticularly during your first 3ā6 months to cover all filing cycles.
āAutoregister only applies going forward
Turning it on won't retroactively register states where you crossed nexus before enabling it. Those registrations need to be addressed separately.
āTurning off Autofile doesn't remove your filing deadline
A safety-net cutoff still applies so unapproved returns can be filed automatically to help avoid penalties and maintain compliance.

1. Confirm your account is ready
Make sure your core company information, formation documents, bank account, virtual mailbox, physical nexus details, and onboarding handoff are complete.

Confirm you've listed every employee and contractor working in each state, along with any brick-and-mortar locations, warehouses, or inventory storage. If anything changesāsuch as hiring in a new state, moving a warehouse, or ending a leaseāflag it to Numeral so we can reassess your nexus footprint.
Our team will send quarterly reminders, but organizations with frequent changes should also maintain their own internal reminders.

If you opt in, Numeral will action mail that does not require your approval, such as filing frequency changes or certificate renewals, and contact you directly when we receive mail that requires your input or isn't related to sales tax. In-app visibility into virtual mail is also on the roadmap for clients who want more direct visibility.

If you opt out, proactive auditing may be limited, and your team is responsible for monitoring tax mail and notifying Numeral of anything that requires action. Response timelines or SLAs will be based on when Numeral receives notice of the mail.
2. Confirm your bank account can support automatic filing and remittance
Add the correct ACH Originator IDs, turn on auto-pay, and make sure funds will be available when withdrawals happen.

Add the correct ACH Originator ID for every jurisdiction where Numeral will remit payments. For example, if Numeral files and remits tax in Kentucky, make sure your bank has the Kentucky ACH Originator ID added to its allowlist to prevent debit blocks from rejecting the payment.

Numeral remits per jurisdiction, so a filing cycle can produce several separate ACH debits. Check the Filings tab before flagging one as a duplicate.
3. Confirm your active registrations are accurate, not just present
Every active registration should reflect the correct liability start date and nexus details. Confirm that your Numeral start date aligns with any prior provider cancellation timelines, that new registrations account for historical nexus and liability dates, and that physical presence is documented in every jurisdiction where applicable.

If you transferred a registration from a previous provider, double-check the liability start date with our team and confirm the termination timeline with your prior provider. Transfers are a common source of incorrect liability dates, and an inaccurate date can misalign your filingsāleading to amendments, processing issues, or penalties.
4. Confirm your product categorization reflects how you actually sell
Review how your products are categorizedāthis is what Numeral uses to determine taxability, and it needs to be maintained as your catalog changes to ensure filing accuracy.

Adding a product line or new sales channel, such as a marketplace or wholesale channel, without revisiting categorization can result in tax deltas.
š“ Keep manual data flags current
If you're using manual data uploads, keep IS_WHOLESALE and IS_MARKETPLACE flags current. Don't use a general "exempt" label as a substituteāCanadian GST wholesale, for example, isn't exempt.
5. Confirm the case-specific items that apply to you
A few checks only apply to specific platforms or provider transitions. Review the sections that match your setup.

š¢ Confirm Numeral has Partner Access
Partner Access allows Numeral to review your Shopify setup, troubleshoot discrepancies, and assist with product categorization and tax-collection settings. It does not give Numeral full access or allow us to manage Shopify's tax rates or advanced tax-engine settings.
š” Check your product tax settings
Confirm products and variants that should be taxable have Charge taxes on this product/variant enabled. New products or variants may default to not charging tax, so review these settings whenever you add products.
š” Confirm your Shopify Tax service
Shopify Tax provides the most precise automated tax calculations and is Numeral's typical recommendation. If you're using Shopify Manual or another tax service, make sure you understand the additional configuration and monitoring required.
š” Review connected Shopify apps
If you're using apps that affect how orders are billed or processed, confirm how tax is being calculated and where the orders flow. e.g., Recharge orders can use either Shopify or Recharge tax settings depending on where the customer is billed. If you're using an app or sales channel not covered in Numeral's guidance, reach out to Support to confirm the correct setup.

If you have a physical presence in California, make sure all active California locations are added to Shopify and inventory is assigned to the appropriate location. This helps ensure accurate fulfillment-origin reporting for California Schedule C filings.
š“ Review your sales channels
Review every Shopify sales channel in your Numeral Dashboard and confirm it is correctly classified as DTC, Marketplace, or Wholesale. Correct any misclassified channels before go-live to avoid incorrect or duplicate tax remittance. Configure any new channels you add ā whether within an existing store or a new store ā before they begin generating sales.

Get your Avalara cancellation confirmed in writing and effective on your Numeral start date. A gap or overlap can leave a state double-filed or unfiled. Confirm your SST account status separately, as it doesn't switch over automatically.

Canceling your Avalara account doesn't uninstall AvaTax from Shopify, NetSuite, or other connected platforms. Remove or disable it everywhere it was active, not just at the account level.

Where to check your status, and who to ask
Your Numeral Dashboard is your central place to monitor setup, filings, registrations, and support requests.

Use your Dashboard to review your account status, filings, registrations, and any items that need your attention. We recommend continuing to check your Dashboard regularly, particularly during your first few filing cycles, so you can stay ahead of anything that requires review or action.
The messaging widget in your Numeral dashboard is the recommended way to contact our team. When you start a request, you'll be guided through a short intake process that captures the relevant details, connects the request to your account, and routes it to the appropriate team. You can also use the widget to view open and resolved requests and follow up on an existing conversation.
ā Keep your primary contact up to date
Your primary contact receives action-required notifications, account updates, and other important communications from Numeral. We recommend using a shared team inbox whenever possible so important updates don't get missed or tied to someone who may no longer be responsible for the account.
