Initiating a transfer and managing tax portal credentials

How to start a transfer for an existing registration, what credentials and 2FA setup is required, and what to do if your portal password changes.

Written by Carlos Madeira

Need to transfer another state registration into Numeral after onboarding, or want the full picture on how we manage your portal credentials and 2FA? This article covers both—including what to do if your portal password changes or a registration doesn't fit the usual transfer process.

Understanding exposed states

Any state where you have nexus—whether you're exceeding that state's economic threshold or have a physical presence there—shows as exposed in your dashboard, whether we're registering you fresh or transferring an existing account. Select a state's page under Jurisdictions to see its exposure date, total exposed sales, and applicable threshold.

Starting the transfer process

You can start a transfer directly from your Numeral dashboard.

1. Select the registrations to transfer

  • Go to Jurisdictions.

  • Click Manage registrations.

  • Under Existing registrations, select + Add jurisdiction.

  • Select the state or states you want to transfer and continue

2. Choose your transfer settings

When should we take over filings?

Choose your next filing period or a custom date.

We typically onboard a transfer the month before taking over filings — for example, onboarding in February to file February returns in March. This gives us time to set up account access and resolve any state-related credential issues.

Do you need help with past-due filings?

Tell us whether we should handle any past-due filings for that state. If you say yes, we'll process and pay those automatically once approved.

If you have questions about penalties or interest on what's owed, talk them through with your onboarding manager first.

3. Add your account details

Enter your state portal login and any other state-specific details we ask for to complete the transfer.

What we need from you

The information we need depends on the state, but it's usually some combination of:

  • Your login for the state portal

  • Access to 2FA, if the state requires it

  • Prior tax return information

  • Any PINs, access codes, or letters you've received from the jurisdiction

If you recently registered somewhere but haven't filed yet, we may also need your Letter ID, taxpayer number, or PIN to link that account to your dashboard.

🟢 We'll check for existing registrations before filing anything new. If we find an existing registration when we start the process, we'll route it to our transfer team to take over the account instead of creating a duplicate.

🟡 Need us to double-check your tax collection settings? Most transferred accounts already have tax collection enabled since you've been collecting and remitting there. If you think yours might not be set up correctly, let us know and we'll take a look.

Managing your tax portal credentials and 2FA

We're set as the default 2FA contact on transferred accounts so we can log in to file, review, and audit without needing someone on your team available every time. Most jurisdictions only allow one 2FA destination. If your team held it instead, every login we need to make would ping you first.

🟢 Need to maintain portal access for your team? Ask us to set up verification code forwarding so your team can continue receiving codes and logging in when needed.

2FA requirements by jurisdiction (US)

Whether you need to do anything for 2FA depends on the state.

States that don't require 2FA/MFA

For the following states, your login and any state-specific details are all we need: AK, AZ, CO, FL, KS, KY, LA, MI, MO, NE, NJ, NY, NC, SD, TX, VA, WY.

States that require 2FA/MFA

The setup process depends on the state:

  • Automated setup: If our automated bot supports that state, your dashboard will prompt you to set up 2FA during the transfer.

  • Setup with our team: If automated setup isn't available for that state yet, you'll be prompted to book a call with our team to complete the setup together.

Other specifications

  • Kentucky, New Jersey, and Rhode Island: We'll usually ask for a PIN or similar information to link your account to our agent portal instead of taking the 2FA slot directly.

  • Maryland: We link to your account without ever adding our own 2FA, so you keep your existing set

🔴 Keep your portal passwords up to date. If you or your team regularly log in to a tax portal, update any changed passwords in your Numeral dashboard right away. Password changes don't sync automatically, and an outdated password can delay a filing. If Numeral changes the password, your dashboard updates automatically.

Getting your credentials right the first time

Working credentials are the single biggest factor in how fast your transfer goes. If your accounts were registered through a previous provider, gather everything you can ahead of time and confirm your login actually works before you submit it.

🟡 Make sure your login works before submitting it. If an account ends up locked, getting access back can take a while. Some states require mailed documentation to confirm your details before they'll restore access. Confirming working credentials up front is the best way to avoid this.

Coordinating a transfer without losing your own access

We can hand off ownership through the dashboard's 2FA bot or a quick call with your rep. If you need to maintain access to the account, ask us to set up verification code forwarding so your team can continue receiving codes and logging in when needed.

🔵 If you opt in to verification code forwarding, use an email address that's regularly monitored but separate from your primary inbox. Our team audits accounts, so you may receive alerts when we log in. If you'd prefer not to receive those notifications in your own inbox but still want verification codes forwarded, consider setting up a dedicated inbox that everyone on your team who needs account access can use.

A transfer is also a good time to review who on your team needs access going forward, especially if logins have been shared around.

Managing your registration after a transfer

Keeping a registration outside of Numeral

If you'd rather manage a state registration yourself instead of transferring it to us, let us know. We'll mark it as managed outside Numeral rather than transferred, so our team doesn't expect to be filing it.

If we can't reach you about an incomplete transfer

Respond to any outreach about an incomplete transfer within a month. If we don't hear back, we'll remove the transfer request and you'll need to start over.
