How filing frequency works

Your filing frequency (monthly, quarterly, or annual) is determined by the tax authority associated with your filing. Here’s how your frequency is determined, when it can change, and what to do if it looks incorrect.

Written by Sadie Rudiger

Your filing frequency is how often a jurisdiction expects a tax return from you. "Jurisdiction" means any state, country, or other tax authority you're registered with. Jurisdictions set your frequency, and it can change over time as your activity there changes. You can't request a specific frequency, but you can always see your current one and flag it if it looks wrong.

How your filing frequency is set

Each jurisdiction determines how often you’re required to file based on your activity there, including factors like your sales volume and tax liability. Generally, the more you owe a jurisdiction, the more frequently it requires you to file. Filing frequency is set by the jurisdiction—not Numeral—and Numeral can’t set or override it.

As your business grows, your filing frequency may increase, and as you begin filing in more jurisdictions, what’s due can change from month to month. Keep this in mind when forecasting your sales tax obligations and planning for sales tax management as your business expands.

ℹ️ Filing Frequencies & Prepayments

Depending on your sales volume, even businesses with a quarterly filing frequency may still be required to remit prepayments. Prepayments are separate filings, so you may see a filing obligation in your dashboard each month—even if your regular filing frequency is quarterly. They will also be clearly labeled in your dashboard.

💡 Check the Jurisdictions tab in your Numeral dashboard to view the filing frequency for each of your tax obligations along with other key details (e.g., login credentials).

Filing frequency changes and when to notify our team

A jurisdiction reassigns your frequency after your activity there crosses a threshold it sets—up for more frequent filing, down for less. Jurisdictions notify you directly, not through Numeral automatically.

Confirm how a frequency-change notice is handled for your account

What happens next depends on whether you have a Numeral virtual mailbox.

🟢 If you have a virtual mailbox with Numeral: Numeral monitors these notices and adjusts your account for you — you don't need to do anything.

🟡 If you don't: Forward the notice to Numeral through the messaging widget as soon as you get it. Until Numeral has it, your account still reflects your old frequency, which can throw off what's expected of you that period.

💡 Numeral doesn't currently send a notification when your filing frequency changes. If you'd like one, message your team and ask to have it added as a feature request.

Can I change my filing frequency?

No, you can’t request a specific filing frequency and neither can Numeral. Filing frequency is set entirely by the jurisdiction based on your activity there.

💬 If you believe your assigned frequency is incorrect or have other questions, reach out to our team anytime via the messaging widget in your Numeral dashboard.
